Group Bookings at a Nail Salon on WhatsApp: Brides, Quinceañeras, and Friends

How to book a group of clients for the same day without overlapping your nail techs, with one deposit for everyone and clear messages.

On a Tuesday at 8:00 PM Natalia texts you: "Hi, I'm getting married next month and we want our nails done the morning of the wedding. There are eight of us: me, my mom, my sisters, and my friends. Is that possible?" You have three nail techs, a Saturday that is already half full, and a pile of questions you do not know where to begin with. Group bookings at a nail salon on WhatsApp bring good money and good memories, but a badly planned group can ruin the day for other clients. The key is to ask just enough before saying yes.

First: how many hands and how much time

A group of eight is not done in an hour. Do this simple math before replying:

  • How many techs you have that day.
  • How long the longest service they will ask for takes.
  • How many people there are in total.

With three techs and 90 minutes per service, eight people take about three rounds. That is roughly four and a half hours. Say it from the start so nobody thinks everyone will leave at the same time.

Staggered times: the part that is hardest to explain

The classic mistake is booking everyone at 9:00. They arrive together, sit together, talk together, and wait together. Meanwhile your techs face a full salon of people they cannot serve at once.

Propose shifts instead:

Natalia, for eight people I suggest three times: 8:00 AM for three, 9:30 AM for three, and 11:00 AM for two. That way everyone is done before 12:30.

Many brides appreciate it, because the group photo happens after the last shift, not during.

Group bookings at a nail salon on WhatsApp: one deposit for everyone

With groups the deposit rule changes. Do not ask for ten transfers of $20. Ask one person to answer for the group:

To hold the three time slots I need an $80 deposit, which comes off the total. One person can send it. Who is coordinating?

Now there is one person responsible, one screenshot, and one conversation. If someone in the group does not show, you know who to talk to.

What happens if one person drops out

It is the most common thing. One friend gets sick, another cannot get time off. Set a rule from the start:

  • A name can be swapped at no cost up to two days before.
  • If the group gets smaller, you are told in time to free the slot.
  • The deposit is not refunded, but it can be used on another date that month.

When the rule is said first, there is no argument at the end.

The day Sofia booked a party and twelve showed up

Sofia has a small salon in Phoenix. A client asked for a group of six for a quinceañera. On the day, twelve came, with sisters, cousins, and an aunt who said "since we're here." Her two techs ended the afternoon without lunch and the regular clients waited nearly an hour.

She learned to ask for the list of names when the group is booked. Not to charge extra, but to know how many hands are needed. If someone wants to add a person, they write and a slot is found.

What you should ask about designs

Appointment time depends on the design. A group with solid colors finishes much faster than one with decorations on every nail.

  • Does everyone want the same thing or does each choose differently?
  • Are there designs that need more time?
  • Are they bringing reference photos?

Ask them to send their photos on WhatsApp before the day. That way you know how long each service will take and the round does not run late.

A reminder message for the whole group

Two days before, write to the person in charge of the group:

Natalia, a reminder of Saturday's times: 8:00 AM Laura, Ana, and Sara. 9:30 AM you, your mom, and Clara. 11:00 AM Lucia and Rosa. Please arrive 10 minutes early. Everything in order?

She forwards the message to her friends and you do not have to write to eight people.

When the group is a kids' party

If the group includes girls, say that one adult must stay with them during the service. Also confirm which polishes and designs you offer for minors, so there are no surprises with the parents.
